Handling of Personal Information

1. Purposes of Use of Personal Information

We will use personal information collected by us only for the purposes of use related to our business, which will be identified in advance, except in cases, for example, where notice regarding the purposes of use is separately provided. The personal information retained by us will be used for the following purposes:

  • (i) To provide estimates for our products and services, perform obligations and exercise rights under agreements, and perform services related or incidental to such activities;
  • (ii) To submit applications and reports to government offices, public services authorities or other public institutions, and perform other services necessary for us to conduct business activities;
  • (iii) To make proposals, utilize business tools and perform other activities;
  • (iv) To place orders with contractors for services and manage services provided by contractors;

We may entrust the handling of personal data retained by us to business contractors to the extent necessary for the performance of our business operations. However, in such cases, we will select appropriate contractors, conclude contracts outlining personal information handling, and exercise necessary and adequate supervision over contractors.

  • - We have established internal regulations and other policies concerning methods for handling personal data, as well as managers and personnel responsible for data handling and their respective responsibilities, etc.

(Organizational security measures)

  • - Along with appointing management supervisors responsible for personal data handling, we clearly define the personnel responsible for handling personal data and the scope of personal data they are authorized to handle. In the event that any confirmed or suspected violations of the Act on the Protection of Personal Information or other relevant laws and regulations are identified, we have in place a system for reporting to management supervisors, as well as a system for notifying the competent authorities and contacting the individuals concerned in accordance with the law.
  • - We regularly conduct self-inspections of personal data handling and have other departments implement audits.

  • - We ensure the thorough dissemination of our Privacy Policy among officers and employees and conduct regular training on personal data handling based on case studies.
  • - The responsibilities of officers and employees in regard to maintaining confidentiality of personal information are stipulated in the internal work rules and other documents.

(Physical security measures)

  • - We define the work areas where personal data is handled and the methods for its storage in our internal regulations, implement measures for controlling access to these areas by officers and employees, and prevent the handling of personal data by unauthorized persons.
  • - We record the users, along with usage status and storage status, in a management ledger for personal information, etc. and implement measures to prevent theft, loss, etc. of equipment, electronic media, documents, etc. In addition, we implement measures to prevent the easy identification of personal data when transporting such equipment or electronic media, etc., including moving it within the workplace.

When we follow the procedures, we will verify your identity. We will request you to send identification documents (such as a driver’s license, health insurance card and passport) to us separately. After we confirm your identity, we will process your request for disclosure, correction, addition or deletion, notification of purpose of use or refusal of use or provision of personal information.
